The handover note template was the part I did not know I needed until we had it. Before the session we were sending voice notes back and forth and things were still being missed. Now there is a single printed sheet that goes with the children each week. Both homes use the same one.

I came to the workshop with low expectations, honestly. I was not sure what five sessions about coordination would cover that I had not already thought of. By session three I had a shared calendar structure that actually held — we had tried shared apps before and they kept getting ignored. Writing the change protocol down was the part that changed things.

The twelve-month programme was the right fit for us because neither of us wanted to keep renegotiating the calendar every school term. The quarterly reviews mean there is a fixed point to update things rather than an argument when something has drifted. My mother can also step in and know exactly where everything is held.

Straightforward appointment. The facilitator was clear from the start about what was and was not going to be covered, which I appreciated. I had made enquiries elsewhere that felt more ambiguous about scope. We came out with a working handover note and a contact card the school can actually use.

What I found useful about the workshop was that the other participants were all dealing with logistical problems rather than the same emotional territory, so the sessions moved at a practical pace. I came away with a routine sheet and a clearer sense of how to write a change protocol that does not leave room for interpretation.

The document index in the twelve-month programme turned out to be more useful than I had expected. My daughter's school had been sending things to the wrong email for months. Once the contact card was in place and the document index noted where each set of records was held, things became much more manageable. Not perfect, but noticeably better.

SITUATION
Two adults had recently separated and needed to coordinate their children's weekly schedule across two households for the first time. They had agreed on the broad structure verbally but had no written record of what that included.
WHAT WAS PRODUCED
The template setup appointment produced a handover note with fixed fields, a weekly routine sheet listing school pickup times, medication schedules and activity days, and a contact card listing six key contacts by name and number.
OUTCOME
The handover note reduced the number of messages required at each changeover. The routine sheet was shared with the children's school within the first week. One session, ninety minutes, materials in use from the following Monday.
SITUATION
An arrangement that had been running for two years had accumulated a number of informal adjustments that neither home had documented. School contacts had changed, one child had started a new activity, and the handover note from the original arrangement no longer reflected what actually happened each week.
WHAT WAS PRODUCED
The twelve-month programme began with an updated template setup, then built a change protocol to record future adjustments. The document index captured where updated school and medical records were held. Quarterly reviews were scheduled to keep the index current.
OUTCOME
By the first quarterly review, both homes were working from the same updated materials. The change protocol meant a new activity starting mid-year was documented and distributed within the same week, rather than discovered missing at the next changeover.
SITUATION
An adult coordinating children's routines across two homes found that shared calendar apps kept getting abandoned and that routine information was frequently communicated in ways the other household could reinterpret differently from what was intended.
WHAT WAS PRODUCED
The five-session workshop covered neutral-language routine writing in session two and factual logkeeping in session three. The participant left with a printed workbook, a template pack and a written log format. The follow-up group session eight weeks later was used to review what had and had not carried forward.
OUTCOME
The shift from informal apps to a printed routine sheet with fixed fields removed the ambiguity in the previous arrangement. The log format from session three was still in active use at the follow-up meeting and had been adapted slightly for the family's own wording, which was the intended outcome.
